How VoiceLens collects, uses and protects information when organisations use our platform to run AI voice calls, and when people receive those calls.
1. Who we are
VoiceLens is an AI voice calling platform operated by Mindcres Technologies (“Mindcres”, “we”, “us”). Organisations (“Customers”) use VoiceLens to create voice bots, upload contact lists or connect their CRM, schedule calls, and review the results on a dashboard.
When a Customer uses VoiceLens to call people (“Call Recipients”), the Customer decides who is called and why. For that data, the Customer is the data fiduciary (controller) and Mindcres acts as a data processor on the Customer’s instructions. For account and website data, Mindcres is the data fiduciary.
2. Information we collect
Account information
Name, work email, phone number, organisation name and role, and login activity.
Bot configuration
Bot descriptions, voice and language settings, scripts, questions and knowledge base documents you upload.
Contact data
Names, phone numbers, dates, districts and other fields in CSV files you upload or records synced from your CRM through our API.
Call data
Call recordings, transcripts, call duration, timestamps, answers captured during the call, call outcomes, and sentiment scores generated by our models.
Website and demo data
Device and browser information, pages visited and cookies. If you try the live demo on our website, your microphone audio is processed in real time to let the bot respond. Demo audio is not stored or linked to your identity.
3. How we use information
- Place, schedule and manage calls as configured by the Customer, including Smart Schedule rules.
- Transcribe calls, capture answers, and classify outcomes and sentiment for the Customer’s dashboard.
- Show geography insights when uploaded data contains location fields such as district names.
- Provide support, keep the service secure and prevent misuse.
- Send service notices such as billing, security alerts and product updates.
We do not use a Customer’s call recordings or contact data to train models for other customers without that Customer’s written consent.
4. Call recording and AI disclosure
Every VoiceLens call identifies itself as an automated call made on behalf of the Customer. Where calls are recorded, the bot informs the Call Recipient at the start. Customers are responsible for having a lawful basis and any required consent to contact the people on their lists, and for honouring do-not-call requests.
5. Sharing and sub-processors
We do not sell personal data. We share it only with:
- Service providers that help us run VoiceLens, such as cloud hosting, telephony carriers and speech processing, bound by confidentiality and data protection terms.
- Systems the Customer connects, such as their CRM, when the Customer enables an integration or export.
- Authorities, when required by law or a valid legal order.
A current list of sub-processors is available on request.
6. Where data is stored
Customer and call data is stored on servers located in India. If any processing takes place outside India, we use safeguards permitted under applicable law.
7. How long we keep data
- Call recordings and transcripts: 90 days by default, configurable by the Customer.
- Contact lists and call results: for as long as the Customer’s account is active.
- Account data: for the life of the account, then deleted within 30 days of closure unless the law requires us to keep it longer.
8. Security
We encrypt data in transit (TLS 1.2+) and at rest (AES-256), restrict access by role, log administrative access, and mask sensitive fields such as phone numbers in the dashboard where possible. No system is completely secure, and we will notify affected Customers and authorities of a personal data breach as required by law.
9. Your rights
Under the Digital Personal Data Protection Act, 2023 and other applicable laws, you may ask to access, correct or erase your personal data, withdraw consent, and raise a grievance. If you received a call from a VoiceLens bot, please contact the organisation that called you first, as they control that data. We will help them respond.
10. Cookies
Our website and dashboard use essential cookies to keep you signed in and secure, and analytics cookies to understand how the site is used. You can control cookies in your browser settings.
11. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new date, and notify Customers by email of material changes.
